About Bakehouse Art Complex

 

Bakehouse Art Complex envisions a world that supports and values artists and recognizes their ability to shape, reflect, and transform our world. A 501(c)(3) located in the Wynwood Norte neighborhood of Miami, our mission is to address the need for affordable live, live-work, and workspaces for artists in Miami’s urban core and provide opportunities for artists to engage with the broader community.

 

Founded in 1985 by artists and for artists in a former industrial Art Deco-era bakery, Bakehouse provides studio residencies, infrastructure, and community to enable the highest level of artistic creativity, development, and collaboration for the most promising talent. As one of Miami’s oldest and largest artist-serving organizations, Bakehouse provides approximately 100 artists with studios of varying sizes and access to two galleries, a classroom, print room, photography lab, ceramics facilities, and woodworking, and welding areas. These spaces allow artists to work, make, discover, learn, and share their practices and work with each other and the broader community.

 

Bakehouse is positioned for its next stage of development, seeking to play a more critical role in the collective efforts to build a strong and sustainable ecosystem in which artists and the arts can thrive. A plan is currently underway to redevelop our 2.3-acre campus to better serve the needs of Miami’s cultural community. This future project, now in the planning stages, will encompass the renovation of the main and former industrial bakery building and the addition of new cultural spaces and affordable live-work units for artists and other members of the community. Bakehouse hopes to become an important cultural anchor to the community in which it is embedded.

 

Position Summary

 

The Development Associate plays a pivotal role in supporting the organization’s fundraising and donor engagement efforts. Reporting directly to the Office of the Director, this part-time, in-person position is the primary point of contact for internal and external stakeholders within the office of the Office of the Director and the Development department. The Development Associate provides administrative support, manages gift processing and acknowledgements, facilitates database operations, and assists in special event coordination. This position offers a unique opportunity to contribute to the growth and success of Bakehouse Art Complex, while gaining valuable experience in development operations within a dynamic arts organization.

 

Essential duties and responsibilities 

 

Administrative

 
  • Provide administrative support (i.e. coordinating meetings, record keeping and filing, maintaining calendar, etc.) for the Executive Director and Development department.

  • Prepare donor acknowledgements and tax receipts for individual and corporate donors on a timely basis.

  • Manage correspondence and meeting coordination for the Executive Director and Development team with board members, donors, and prospects.

  • Assist in drafting and preparing written materials as related to development for use on organization’s website, social media, and other marketing materials, as needed.

 

Database support

 
  • Track and post daily donations to Bloomerang.

  • Input and maintain updated records of donor data in Bloomerang.

  • Prepare regular management reports from Bloomerang and assist in tracking departmental expenses for financial reporting.

  • Create and execute queries from Bloomerang for mailings, event invitations, and other department projects.

  • Assist with tracking and producing departmental invoices and gift reminders.

  • Maximize database functionality and implement best practices for constituent data management.

 

Fundraising

 
  • Assist in identifying and researching individual, corporate, and foundation prospects to inform fundraising efforts.

  • Organize and prepare all annual giving solicitation mailings and emails.

  • Assist in the preparation of funding and sponsorship proposals and decks.

 

Special events support

 
  • Provide support at specified donor events and functions.

  • Attend and assist with the organization's functions, as required.

  • Manage and track invitation mailings, as needed.

 

Qualifications

 
  • Minimum of two years’ experience in an administrative support position.

  • Experience with CRM databases and integrations (such as Salesforce, Raiser's Edge, or Bloomerang) to manage donor information and track fundraising progress.

  • Proficiency in Microsoft Office Suite.

  • Strong analytical, communication, and organizational skills.

  • Ability to work independently and collaboratively in a team environment.

  • High level of integrity and confidentiality.

  • Ability to prioritize tasks and manage multiple projects simultaneously.

  • Strong interpersonal skills and the ability to build and maintain relationships with donors, stakeholders, and partners, both externally and internally, to effectively represent Bakehouse to its multiple audiences and funders, new and prospective.

  • Excellent writing, communication, and interpersonal skills.

  • Willingness to learn new computer programs and skills, as required.

  • Ability to perform other related duties, as required or directed.

  • Flexible schedule to accommodate occasional evening or weekend events.

 

Nice to Have

 
  • A Bachelor’s degree in business or related field preferred.

  • Experience in assisting with special fundraising events, projects, and programs, including planning, implementing and evaluating. 

  • Experience with Google Suite or similar tools for creating and editing documents, spreadsheets, and presentations.

  • Familiarity with tools such as Excel, Google Analytics, or Tableau to analyze data and track performance metrics.

  • Experience with tools such as Asana, Trello, or Basecamp to manage projects and tasks.

  • Knowledge of tools such as Slack, Zoom, or Google Meet to collaborate with team members remotely.

  • Experience with graphic design tools such as Adobe Illustrator, Canva, or GIMP to create graphics and visual elements for marketing and communications materials.

  • Knowledge and passion for the arts and culture.

 

Salary 

 

This is a part-time (three days a week), in-person position. The rate is $25 - $35 per hour commensurate on experience.
