Position: Development Operations Coordinator
Department: Development
Reports To: Director of External Affairs
FLSA: Full-Time, Non-Exempt
Compensation:  $55,000 per year
In-Office Position

Position Summary:

The Institute of Contemporary Art, Miami, is seeking a Development Operations Coordinator. Reporting to the Director of External Affairs, the successful candidate will be results-oriented and seek to make a significant impact on the operations of the museum’s development department. They will play a vital role in the development team, advising on best practices for gift processing, tracking, reporting, accounts receivable, and analytics; serving as a project coordinator for the department’s various fundraising initiatives, and working alongside leadership to play a role in the deployment of strategic endeavors.
 
Responsibilities include:
  • Develop new reports and analyses that monitor progress and can be utilized by senior leadership and the Board (prospect research, fundraising reports, moves management, pipeline tracking, etc.)
  • Work with the finance team to develop streamlined procedures between development and finance groups (i.e. invoicing, creating processes to provide gift documentation and receipts, generating pledge and contribution reports, and reconciling revenue numbers at a mutually determined frequency).
  • Oversee invoicing and gift coding and entry, gift campaign attribution, and other gift processing standards to ensure optimal collection and accuracy of data for the museum’s fundraisers, campaigns, and individual giving programs
  • Develop new gift processing methods, making recommendations for automation and data collection improvements where appropriate.
  • Works with the team to define project scope and timelines, set team direction, and track project progress for fundraising-related communications and initiatives.
  • Contribute to long-term and annual fundraising processes for the institution by working closely with other senior managers and staff to successfully plan, communicate, and implement institutional initiatives.
  • Provide administrative support to the development team
  • Advise senior leadership on best practices, including refining data tracking methods for better analytics and compliance with gift acceptance policies.

Job Requirements:

Requirements:
  • 3-5 years of related experience
  • Capable of managing multiple projects and prioritizing tasks in order to meet deadlines.
  • Strong attention to detail and excellent written, verbal and presentation skills.
  • Strategic thinker capable of inspiring confidence and leading process changes.
  • Strong interpersonal skills and ability to work both independently and collaboratively in support of a diverse team.
  • Knowledge of databases and commitment to data integrity -– SalesForce strongly preferred
  • Technically savvy with established Microsoft Suite skills (Excel, Word, PowerPoint).
 
Note: This position requires flexibility in scheduling the workday, as this position requires irregular hours.
 
Physical Requirements:
  • While performing the duties of this position, the employee is frequently required to stop, reach, stand, walk, lift, pull, push, grasp, communicate and use repetitive motions.
  • While performing the duties of this position, the employee may frequently lift and or move 20 pounds of materials.
  • The position requires the individual to meet multiple demands from multiple people and interact with the public and other staff.
