Job Description:

The Adrienne Arsht Center for the Performing Arts of Miami-Dade County is seeking an experienced, skilled, and highly motivated Part-Time Event Services Coordinator to support the Director, Venue Rentals & Events.

Basic Function

Reporting to the Director of Rental Events, the Part-Time Event Services Coordinator will be responsible for providing administrative and event support for private events at the Center using detailed and efficient communication across all appropriate client and Center departments. This position will support the administrative and booking processes of the Rental Events department. The Coordinator will develop and maintain strong working relationships and work alongside the Adrienne Arsht staff assigned to private event rentals.

Responsibilities

• Receive, record and track incoming inquiries via phone and email and respond with appropriate information for potential venue bookings within a timely manner
• Maintain client database, coordinate and track appropriate follow-up process
• Make sales calls to bring in potential clients
• Schedule, as well as conduct, site visits, walk-throughs and production meetings for the Director of Rental Events
• Collect, coordinate, process, and file appropriate contracts, vendor contact information and for each event
• Work selective events as needed including those at night and on weekends
• Evaluate leads to generate and maintain potential bookings database
• Update software systems used with event and client information
• Update website when needed
• Organize event photo galleries
• Assist in marketing print and digital direction for the Rentals Department
• Review print and digital marketing materials to ensure materials are up to date
• Create event production schedules and distribute to appropriate departments
• Maintain event files and administrative documents
• Maintain, track, and order Center office supplies as necessary
• Other duties as assigned


 

Job Requirements:

Ideal Experience

• 1-2 years of special event coordination experience
• Previous hospitality or catering sales experience preferred
• Previous administrative experience preferred, and /or customer service experience

Physical Demands

• The position requires the individual to meet multiple demands from multiple people and interact with the public and other staff.
