Job Description:

Opportunity to work for Miami's longest running alternative art space

Locust Projects is a not for profit exhibition space dedicated to providing contemporary visual artists the freedom to experiment with new ideas without the pressures of gallery sales or limitations of conventional exhibition spaces. Local, national and international artists are encouraged to create site-specific installations as an extension of their representative work. Locust Projects supports the local community through educational initiatives and programming that are free to the public.

Major Duties and Responsibilities
Office Management/Administrative:
  • Provide day-to-day support to the Executive Director in administrative matters such as scheduling and confirmation of meetings, drafting notes, correspondence, preparation, minute-taking for board meetings, etc.
  • Manages day-to-day office operations
  • Serves as liaison to operations-related vendors and services
  • Manages vendor and contract labor agreements/contracts
  • Coordinates facility maintenance and repair needs
  • Orders and tracks office and facility supplies  
  • Manages, updates and/or creates office manuals (e.g. Operations Handbook, Personnel Policies Manual and Procedures Manual)
  • Maintains annual budget and tracks expenses working with staff across departments
  • Uploads and codes invoices into accounting software
  • Works with offsite accountant to manage account payables/receivables
  • Supports grant tracking and reporting
  • Manages and processes employee expense reimbursements
  • Manages credit card expense tracking and reconciliation
  • Creates bi-weekly disbursement reports for accountant
  • Prepares board finance reports
  • Acts as bank liaison
  • Acts as primary liaison to accountant
  • Supports accountant in preparation of annual financial statements and tax documents
Human Resources:
  • Supports job search process
  • Oversees intern and volunteer program
  • Handles new hire and termination paperwork
  • Manages personnel files, including job descriptions, expense reimbursements, annual reviews, other documentation
  • Tracks benefits  

Job Requirements:

  • A minimum of a Bachelor’s Degree and/or 2+ years of professional experience in an administrative position,
  • Extensive working knowledge of Fluent in Microsoft Office Suite and Google products (Drive, Mail, and Calendar, primarily) Quickbooks, Xero and have an impeccable understanding of non-profit accounting procedures.
  • Excellent time management and organizational skills,
  • Excellent verbal and written communications skills with demonstrable ability to provide professional and appropriate business level written information,
  • Enthusiastic, proactive, resourceful, and solutions-oriented,
  • Self-motivated with the ability to work independently, take initiative, and follow tasks through completion with minimum supervision,
  • Outgoing personality and friendly demeanor with an ability to work collaboratively on a team and in a high-pressure environment,
  • The position requires ability to work occasionally during evening and weekend events.
  • Preference given to applicants who have worked with non-profit arts organizations.
