Job Description:

Basic Function

Reporting to the Senior Director, Programming, the Facility Rental Director will be responsible for the opportunities and requirements for all events at the Arsht Center. This position will also be responsible for managing all facets of the facility rentals including the development of a portfolio of rental clients. The Facility Rental Director works with the Center’s catering partner, various departments and outside contractors to maximize the usage of the Center’s theaters, meeting areas and event spaces. He or she will serve as the point of contact between the Center’s customers and Center’s staff to ensure both excellent customer service and effective communication and coordination with various Center departments for non-ticketed events. 

Responsibilities

• Works with Center’s catering partner, Spectra Food Services to identify and target opportunities and clients for special events at the Center.
• Build client data base.
• Do outbound solicitation for space rental and event business.
• Communicates accurate schedule information to all pertinent departments.
• Prepares annual budget for rental income.
• Creates and negotiates facility rental contracts and is responsible for the execution of contracts and settlements.
• Prepares and leads all event settlements and takes sole responsibility.
• Maintains cooperative, customer-service style relationships with all clients, concessions and catering vendor, promoters and other Center customers, donors and users of the facility.
• Pro-actively communicates across the organization related issues, including opportunities to ensure utilization goals are met and objectives are achieved.
• Is the conduit and communicator with Spectra Food Services and The Café at Books and Books regarding, leasing of facility spaces for catering, special events and meetings.
• Participates in the creation and enforcement of policy and procedures regarding facility rentals usage and operations, both externally and internally
• Works with the Marketing Department to develop appropriate sales materials and to keep the website current.
• Represents The Center at trade shows.
• Performs other duties as required.

Job Requirements:

Ideal Experience
• At least three to five years prior work experience and two years of experience as a manager in event planning as well as sales in a multi venue environment. Strong understanding of the catering side of the rental business.
• Excellent organizational skills, including exceptional accuracy and attention to detail.
• Excellent communication and presentation skills, both by phone, writing and in person.
• Strong analytical and problem-solving skills especially under pressure.
• Ability to work well in a team environment as well as the ability to work independently.
• College degree in a relevant field or the equivalent in level of experience.
• This position will require the ability and flexibility to work weekends, evenings and on occasional holidays.
• The ability to communicate in Spanish, Portuguese and/or Creole is highly desirable.
