Job Description:

Reports to Director of Development; works under the supervision of Associate Director of Individual Giving on specific projects 

This administrative role plays a crucial part in the museum's capacity to identify and foster potential supporters, as well as secure contributions. Key responsibilities include prospect research, ensuring prompt gift acknowledgments, collecting documentation, maintaining donor records, and generating financial progress reports. This person serves as the primary liaison within the Development department for the upkeep and optimization of the donor database (Altru and Financial Edge). Additionally, the Development Assistant is responsible for coordinating the museum's Advocate-level membership program (up to $1,000), managing timely communications with members, overseeing all member-related record-keeping, and providing support to the department in the execution and coordination of development events, as necessary. 


  1. Manages daily gift processing, acknowledgments, and reconciliation for all incoming gifts and pledges; ensures the correct reporting of daily entries and new gifts 
  3. Works closely with Finance to ensure consistent and accurate pledge and gift coding
  5. Identifies new systems and tools for data efficiency; facilitates their implementation under the direction of the Director of Development 
  7. Maintains knowledge of the database capabilities and software updates through regular Blackbaud University training; suggests new and creative ways to help development team maximize the use of data with the goal of deepening the understanding of donor behavior and drive increased giving 
  9. Builds, automates and manages daily, weekly & monthly revenue, LYBUNT, and other financial reports for the Development team 
  11. Produces and maintains lists for all Development mailings and communications; ensures e-mail distribution lists in Mailchimp are always up to date 
  13. Maintains fundraising calendar and timelines pertaining to acknowledgments, renewals, appeals, fundraising campaigns, etc. 
  15. Performs individual and institutional prospect research to ensure steady pipeline of potential support 
  17. Assists with creation of donor appeals and report materials; engages with Communications, Education and Guest Services staff to gather metrics that enhance appeals 
  19. Coordinates Advocate member communications, benefits, renewals, and announcements 
  21. Manages Advocate membership campaigns and expanded benefits development 
  23. Assists the Development team at donor events as needed 
  25. Provides support to other Development team members as needed, with Director of Development’s approval 
  27. Performs other duties as assigned/needed

Job Requirements:



  • Bachelor’s Degree required 

  • Demonstrated ability to exercise sound judgment, diplomacy, confidentiality and sensitivity to a range of constituents 

  • Ability to work well in a team environment 

  • Strong organizational skills and excellent attention to detail 

  • Ability to manage numerous projects with multiple deadlines 

  • Strong interpersonal, written, and verbal communication skills; ability to communicate with a broad range of constituents and stakeholders with ease 

  • Must be self-motivated, goal-oriented, flexible and adaptable 

  • Must be able to maintain discretion with confidential information 

  • Must be able to work evenings/weekends for select specials events

  • Familiarity with non-profits, research methods, data standards, and databases required 

  • Minimum of two years of general office experience in a complex office environment preferred 

  • Proficiency with Microsoft Office (Outlook, Word, Excel, and Power Point) required; experience with donor management software (Blackbaud/Altru/Financial Edge, in particular) preferred 



  • Must be in good physical condition, able to move moderately heavy objects (35lbs.), bend, stoop, walk, climb stairs, stand, and sit for extended periods of time 

  • Must be able to work a flexible schedule including evenings and weekends
