Job Description:

The Assistant to the Deputy Director plays a central role in the Museum of Contemporary Art North Miami’s day to day operations. They will provide general administrative support to the Deputy Director and work closely with all Museum staff to further MOCA’s mission. This position is ideal for a candidate interested in growing in the museum field while contributing to the infrastructure behind the operation of a contemporary art museum.
 
Major Areas of Responsibility:
  • Provide administrative support to the Deputy Director, including but not limited to:
    • Maintaining printed and digital files in an accessible fashion.
    • Processing new hire paperwork and setting background check appointments.
    • Preparing communication on behalf of the Deputy Director as necessary, including but not limited to memoranda, reports, presentations, and phone calls.
    • Taking meeting minutes on behalf of the Deputy Director.
    • Covering the museum’s reception desk as needed, including during museum operating hours.
    • Working with the Finance Manager, preparing financial reports for grants, including copying invoices, preparing budget vs. actual breakdowns for review, and entering data into grant portals.
    • Acting as a liaison between the City of North Miami’s IT Department and MOCA staff, including opening and tracking museum-wide service tickets and processing new hire setups.
  • Assist the Executive Assistant with the coordinating of onsite meetings as necessary, including room preparation, basic A/V setup (projector and laptop), preparing meeting materials, and breakdown/clean up afterwards.
  • Maintain and replenish the museum’s stock of office supplies.
  • Update staff contact lists as necessary.
  • Provide staff support during exhibition openings and other special events (both virtual and onsite).
  • At the direction of the Deputy Director, assist other MOCA staff with clerical and administrative tasks as necessary and assigned.

Job Requirements:

Qualifications:
  • Superior communication skills (both verbal and written).
  • Excellent attention to detail.
  • Maturity and discretion.
  • Ability to work individually and as part of a team.
  • Capable of working collaboratively and inclusively with a variety of constituent groups.
  • Strong sense of personal and professional accountability.
  • Able to provide support to a variety of projects, with the ability to adapt to changing priorities with ease, problem-solve, prioritize, and meet deadlines.
 
Requirements and Skills:
  • Proficiency in Microsoft Office Suite.
  • Knowledge of Adobe Acrobat Pro.
 
Desired:
  • Bilingual in English and Haitian Creole and/or Spanish.
  • Experience with Altru or another similar CRM/database.
  • Candidates with interest in a career in the museum field.
 
This is a full-time salaried position, with general hours Monday-Friday from 9:30am-5:30pm.  The position requires some early morning, late evening and weekend hours as necessary, especially during periods of high volume (Miami Art Week, exhibition openings, etc.). A level 2 background check will be required upon the offer of employment.

Compensation: $45,000 annual salary, including an excellent benefits package.
