Job Description:

Basic Function
The Programming Coordinator is responsible for providing support and coordination in event and departmental administration and is the main point of contact for the shared calendar of events, as directed by the Senior Director, Programming. The Programming Coordinator will gain experience researching artists, maintaining venue management calendar, proactively engaging across departments to ensure proper scheduling, assisting in aspects of rental events, responding to external and internal inquiries, invoicing, and coordinating engagement details.
  • Maintains the calendar for the Center and develops calendar formats as needed.
  • Works with our software representative to learn new functions and aspects of our new and evolving software
  • Maintains current and accurate information in departmental and corporate databases including data entry, report generating, and data analysis
  • Works with members of the programming department to create new reports and assess data reported
  • Assists in keeping internal departments informed of detailed event requirements through weekly calendar meetings, event coordination memos, and other methods as required
  • Prepares, maintains, and distributes documentation and reports for department and agents as needed
  • Provides general administrative support to the programming department including responding to inquiries, special ticket orders, scheduling meetings, pulling reports, generating weekly programming agenda, and maintaining departmental calendar
  • Maintains the files in the Programming Department database and compiles reports related to calendar activities.
  • Liaises with internal departments and external contacts
  • In conjunction with the programming and marketing department, reviews select marketing and publicity materials for accuracy in advance of distribution to agree to the calendar.
  • Attends events on behalf of the department
  • Identifies potential problems and reports to management, recommending solutions wherever possible.
  • Handles show duties as needed.
  • Performs other duties as assigned by the Senior Director, Programming, and managers within the Programming department.

Job Requirements:

Ideal Experience
  • A Bachelor’s degree from an accredited institution of higher education
  • A strong interest in arts management and/or event management
  • A minimum 2 years of relevant experience in the performing arts or event management fields.  Relevant experience as an intern or rigorous school setting is applicable
  • Ability to effectively multi-task and meet deadlines
  • Strong administrative skills
  • Fully computer literate, including Microsoft Word, Excel and Outlook
  • Able to work flexible hours, including nights, weekends and holidays as needed
  • Ability to excel while working both independently and collaboratively
  • Understanding of how to function effectively in a multi-ethnic work environment and community
  • Understanding of collaborative, team-oriented leadership style
  • Fluency in English (reading, writing and speaking) is required.  Knowledge of Spanish is not required but is an asset
  • Familiarity with software programs including Microsoft Dynamics, Ungerboeck and Tessitura is considered an asset.
