Job Description:

Basic Function:
Reporting to the Vice President of Marketing, the Marketing Assistant is responsible for a variety of tasks including project management and providing administrative support to a dynamic and highly motivated marketing department. A high degree of organization, project management, finance, coordination, collaboration and customer focus are required to carry out the responsibilities of this position.
 
Responsibilities:
  • Assists with the upkeep of show marketing budgets; responsible for budget reconciliation and coordination of marketing settlements as assigned.  
  • Maintains post-show wrap reports and postmortem documents.
  • Supports Marketing Manager with media follow-up on agreements, affidavits, tear sheets, and contracts.
  • Assistance at promotional events as needed.
  • Prepares and executes invoices in a timely manner.
  • Maintains relationships with marketing vendors.
  • Oversees inventory and ordering of branded promotional items.
  • Coordinates processing, delivery/pickup of show promotional/trade and charity comp ticket requests and maintains a running spreadsheet.
  • Maintains database of papering and promotional partners, distributes papering and other offers and tracks progress of initiatives.
  • Contributes to creative social media plans to enhance marketing campaigns.
  • Oversees the department postage account, quarterly reconciliations and year-end accruals.
  • Manages key institutional eblasts, partner events and monthly newsletters.
  • Conducts regular website audits.
  • Provides administrative support, including calendar management, to Vice President, Marketing.
  • Provides administrative support of department expense reports.  
  • Assists Group Sales Director as assigned.
  • Performs other duties as assigned.
 

Job Requirements:

  • Extremely organized, have great attention to detail and excellent follow-through skills
  • Administrative ability
  • Strong knowledge of Microsoft Office suite
  • Ability to work in a fast-paced environment and flexibility to quickly adapt to changing demands
  • Exemplary attention to detail and able to multi-task with minimum supervision
  • Knowledge of project management software, database and list management tools
  • Associates or Bachelor’s Degree in relevant field

  • The position requires the individual to meet multiple demands from multiple people and interact with the public and other staff.
