Job Description:

Basic Function
 
Reporting to the Senior Director, Programming, the Programming Manager will lead the efforts to meet the goals and objectives of the Adrienne Arsht Center. The Programming Manager will be responsible for contract administration, insurance coverage and departmental administrative duties of the Programming Department as part of a schedule that includes more than 400 performances inclusive of multiple signature series, additional performances, and events.

The Programming Manager will be a hands-on and deeply involved professional.   This is a highly collaborative environment that is results driven, with strategic thinking, goal-oriented action, follow-through and open communication.
 
Key factors contributing to the success of the Manager will be the ability to collaborate with the Directors of Programming, Vice President of Programming, Senior Director, Programming and other departmental directors, as well as the Legal and Finance departments.  In achieving its objectives the Manager will consistently review the current programming support infrastructure to ensure it has the tools to respond quickly, effectively, creatively and contextually to long term legal and financial requirements and short term operating needs.
 
Responsibilities
  • Manage budgeting and contracting processes for Center Presents engagements including drafting, managing and tracking documents, obtaining institutional approvals, and communicating with agents, artists and co-producers as needed
  • Create ticket riders and event sheets for all Center presentations and co-pros
  • Regularly communicate and liaise with internal staff to ensure proper execution of programs, informing all relevant staff of updates and changes related to Center presentations and co-pros 
  • Efficiently communicate with Center Presents artists’ agents during the pre and post-performance phases by addressing questions, issues and concerns in a positive and timely manner
  • Manage departmental finances in accounts payable.  Request and track artist deposits and gather settlement items for Center presentations and co-pros. 
  • General administrative duties such as scheduling and securing resources for meetings, creating agendas, arranging conference travel and schedules
  • Maintain hard-copy and electronic filing system
  • Attend all necessary meetings in order to provide and receive accurate and timely information
  • Keeps internal customers aware of our contractual obligations and administers contracts with external contacts.
  • Oversight of programming contracts
  • Monitors the performance and accuracy of each contract
  • Responsible for modifications, extensions and closeout documentation.
  • Customer support – ensuring that business between the two parties is running smoothly.
  • Responsible for resolving any minor conflicts or infringements arising from existing contracts.
  • Duties include assisting with contract development, administration, tracking and analysis, as well as communication of compliance.
  • Coordinate with all levels of management to gather, analyze, summarize, and prepare recommendation on practices and procedures.
  • General duties as assigned

Job Requirements:

Ideal Experience
  • A Bachelor’s degree from an accredited institution of higher education with an interest in arts management, arts education or a related area
  • At least 2 years of experience in the performing arts or management fields at least some of which should be in multi-art form circumstances
  • Ability to effectively multi-task and meet deadlines
  • Strong administrative skills
  • Must be proficient in contract development, contract standards and language.
  • Fully computer literate, including Microsoft Word, Excel and Outlook
  • Able to work flexible hours, including nights, weekends and holidays as needed.
  • Fluency in Spanish
  • Experience in working with performing artists
  • Familiarity with the South Florida arts community including organizations and individual artists
  • An understanding of performing arts practices in the United States
  • Familiarity with the role of the Center as it relates to South Florida and the State
  • Experience working in a large, complex organization and general venue operations knowledge
  • Understanding of how to function effectively in a multi-ethnic work environment and community
  • Understanding of collaborative, team-oriented leadership style
