Job Description:

The Art and Art History Department is currently seeking a Temporary Art and Art History Office Specialist to join their team of professionals. Duties include:

  • Provides front desk coverage for the Department Art + Art History (AAH) lobby area. Answering calls, assisting student inquiries.
  • Maintains the AAH reception area, which includes updating bulletin boards, TV monitors, refreshing handouts/promotional materials, identifying cleaning needs, etc.
  • Provides support to AAH students, faculty, and staff. Prepares a variety of materials including correspondence, memorandum, forms, etc.
  • Plans and schedules office meetings/activities. Assists with basic departmental events operations.
  • Under the supervision of the Sr. Coordinator Admin Services initiates and coordinates travel arrangements and expense reports.
  • Responsible for adding users to the electronic access for the department’s lab classrooms.
  • Assist with Graduate studio move-in and move-outs. Provides supports for graduate studios to ensure the studios are up to code and ready to be occupied.
  • Responds to student inquiries on behalf of the department email in a timely fashion.
  • Schedules meetings for Department Chair and/or faculty as needed.
  • Assists in event execution related tasks, such as purchasing and picking up items needed for related events and setting up and tearing down the event.
  • Assist faculty and staff in Property Management related tasks, such as Asset Transfer Forms.
  • May supervise and coordinate student employees and schedules.
  • Serves as a University card user for travel and departmental transactions. Adheres to University credit card policies and procedures. Handles cash transactions. Maintains financial records, processes request, invoices, purchase orders, and credit card purchases.
  • University Credit Card user purchasing office supplies and travel arrangements for staff and/or faculty. Prepares purchase requisitions and credit card reconciliation, in accordance with university policies and procedures.
  • Performs other related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Job Requirements:

High School Diploma or GED and 2 years of experience.

Monday to Friday 8:30am to 5:00pm (On MMC Campus)
