Position Summary
The Development Coordinator will support ICA Miami’s fundraising efforts by working closely with the Director of External Affairs, the Senior Development Manager, and the Membership Coordinator to support the Museum’s strategic efforts to secure contributed revenue.

Responsibilities include but are not limited to:
  • Coordinate the logistics of select fundraising meetings and donor events, working in coordination with the Director of External Affairs and the Membership Coordinator to ensure that the events are strategic, efficient, and effective in furthering the museum’s fundraising efforts.
  • Schedule with external partners, monitor invitation tracking, serve as a liaison to vendors, record meeting or debrief notes, and on-site management of event logistics.
  • Provide excellent customer service to donors, including benefits fulfillment requests. Proactively record and track donor information and call reports in the database, to ensure that records include updated contact information, recent interactions, and major life events.
  • Support the Director of External Affairs and other team members through preparing invoices, acknowledgments, and other correspondence and collateral.
  • Write standard corporate contracts, monitoring the fulfillment of the contract for corporate partners, and develop presentations and gift reports.
  • Write grant reports working closely with the contracted grant writer.
  • Support the Director of External Affairs with screening and cultivation of donors and prospects. Responsibilities include conducting research on prospects and potential sources of funding to grow donor prospect database and tracking data to ensure timely and proper moves management.
  • Serve as backup support for the Senior Development Manager. These duties include processing of gifts and actions, preparation of metrics reports, maintenance of donor records, and generation of mail and email lists.
  • Provide backup support to the museum’s membership program as necessary during peak times
  • Support Development Operations by managing weekly team meetings, event and meetings calendar, and production calendar—also by preparing supplemental materials for Development fundraising activities, assisting with correspondence, scheduling, organizing committee meetings, and recording meeting minutes.
  • Serve as a frontline contact for internal requests/inquiries of the Development Team.
  • Represent Development Team by assisting with all general fundraising activities and other special events.

Job Requirements:

Qualifications, Competencies, Skills Required
  • Professional experience should include at least two years of work, preferably with a nonprofit organization, museum, or other cultural institution, with proven experience in database management.
  • Experience with SalesForce is desirable.
  • Must possess effective communication skills, both in speaking and writing.
  • Demonstrate excellent organizational skills with attention to detail.
  • Be able to problem-solve and multitask under tight deadlines.
  • Maintain effective working relationships with volunteers, donors, and staff.
  • Must maintain donor confidentiality always.
  • The ability to work in a positive collaborative environment while also functioning autonomously is essential.
  • Excellent computer skills (documents/spreadsheets/databases/presentations/calendars/email)
  • Superior interpersonal skills and ability to communicate professionally with a culturally diverse group of volunteers, co-workers, and donors.
  • Ability to regularly work night and weekend hours.
