Locust Projects, Miami’s longest-running alternative art space, is seeking a new addition to our team! The Gallery and Operations Coordinator plays a significant role in supporting day-to-day administration/operations and Locust Projects’ visitor experience both onsite and online. This can be a full or part-time position to provide a flexible work/life schedule. 

The Gallery and Operations Coordinator provides vital administrative and operational support to the organization’s day-to-day functions and facility management. We are all responsible for accomplishing everything that needs to be done to keep such a vibrant space thriving, from opening the doors to managing high-level relationships. With this, comes an extraordinary amount of professional development and first-hand experience at what it takes to run a unique, alternative non-profit art space. We aren’t looking for you to have a lot of experience to be considered for this position, but you have to be willing to operate at the highest level of excellence. You must be able to make quick and important decisions. You must want to make this role your own. This position reports directly to the Executive Director.

Requirements:

• Must be available to work in-person at the gallery from 11am to 5pm on Wednesday - Saturday; (note open hours may shift during summer) 

• Must have flexible availability to work in-person during evening and weekend programming, including but not limited to special events, fundraisers, exhibition openings, and public programs; approximately 3 times per month

• An ideal candidate will display initiative, good judgment, responsibility, customer service, communication, and friendly social skills.

 Responsibilities:

• Opening and closing the gallery during regular gallery hours

• Greet visitors upon arrival and provide direction on navigating space and be available and informed to answer questions about exhibitions, artists, the organization, and programming

• Ensure related materials are stocked for facility and office functions, exhibitions, and programs

• Handle day-to-day bookkeeping tasks of processing purchases, invoices, sales, and accounts payable in bill.com.

• Maintain daily tidiness of the public spaces and restrooms; coordinate facility cleaning service prior to openings/events and at residence between artist visits

• Report any incidents or potential safety concerns to appropriate staff immediately

• Answer phones and forward messages to the appropriate parties

• Assist with receiving deliveries, scheduling maintenance and repairs

• Maintain email lists for newsletters and communications

• Data entry and assist with maintenance of CRM database

• Process sales of membership, editions, other merchandise, and special event tickets

• Maintain filing and archiving in Google Drive
• ​ Monitor exhibitions and art to ensure protection of work/objects

• Participate in weekly staff meetings 

• Perform additional administrative office duties as assigned

Must Haves

• Excellent organizational and oral communication skills

• Strong attention to detail 

• Ability to adapt to change, communicate when direction is needed, and take initiative to identify efficiencies and positive change within the workplace

• Ability to interact positively with all guests and provide excellent customer service

• Must work well as a member of the Locust team, be a good communicator and collaborator, as well as be resourceful and self-motivated to work independently and responsibly in an unsupervised setting

• Must be able to demonstrate good judgment and make informed decisions that maintain Locust Projects’ values and positive reputation

• Basic computer skills

• Must have a reliable source of transportation and be available in case of emergencies

• Be able to lift items of 50 lbs and climb ladder

Nice to Haves (these are preferred but not necessary):

• Associate’s degree or equivalent experience

• General familiarity and understanding of art gallery, cultural facility or museum environments 

• Experience working in an office environment

• Basic bookkeeping skills and proficiency in Quickbooks

• Knowledge and experience with Mac computers, Microsoft Office Suite including Excel, Google Drive, POS systems, and processing financial transactions 

• Knowledge of Adobe Creative Suite

• Openness to expanding skills and knowledge base as needed to be successful in the position and interest in ongoing professional development
