Job Description:

The Museum of Contemporary Art North Miami seeks a detail-oriented, proactive Operations Manager to oversee all building and office operations. Reporting directly to the Deputy Director, they are responsible for overseeing all infrastructure maintenance (both internal and through third party vendors), security, and general office management. The role requires a proactive and flexible approach, attention to detail, creation of standard operating procedures, and the ability to handle multiple tasks.
Major Areas of Responsibility:
  • Ensure efficient daily operation of the museum by
    • Ordering/purchasing all office supplies and equipment
    • Coordinating all IT support (including via the City of North Miami IT Department)
    • Submitting work orders for necessary maintenance and keeping records of all maintenance
    • Arranging for both regular and special custodial support
  • Create and implement a comprehensive building maintenance schedule.
  • Supervise all vendor contracts associated with building maintenance and museum operations, including those contracted by the City of North Miami.
  • Conduct daily inspections of facility spaces to ensure high standards of appearance and readiness are maintained.
  • Respond to all building system failures. Diagnose their cause and supervise all activities required to restore proper operation.
  • Respond to building security alerts, ensuring proper response is undertaken as well as proper security system operation is maintained.
  • Develop and maintain the library of building maintenance and operations manuals, reference documents, and spare parts.
  • Manage the inventory of supplies and spares required by building maintenance and operating activities.
  • Manage all keys and security codes for access control.
  • Coordinate with other museum staff to minimize the impact of building maintenance and operations activities upon museum functions.
  • Review incident reports and take appropriate action, in coordination with the Deputy Director.
  • Work with the Deputy Director to create and manage budgets and document expenses incurred for activities associated with building operation and maintenance.
  • Act as the Museum’s designated ADA coordinator, including researching best practices and needs for compliance with the Americans with Disabilities Act.
  • Assist with the processing of new hire paperwork and setting background check appointments.
  • Maintain the MOCA Shop Inventory, aiding with reordering and online sales fulfillment.
  • Provide staff support during exhibition openings and other special events (both virtual and onsite).
  • Other duties as assigned.

Job Requirements:

  • Superior communication skills (both verbal and written).

  • Ability to work individually and as part of a team.
  • Strong organizational and project management skills including ability to effectively create and implement systems and procedures.
  • Capable of working collaboratively and inclusively with a variety of constituent groups.
  • Strong sense of personal and professional accountability.
  • Able to provide support to a variety of projects, with the ability to adapt to changing priorities with ease, problem-solve, prioritize, and meet deadlines.
  • High School Diploma required; Bachelor’s degree preferred (or equivalent experience).
  • At least 2-3 years’ experience in operations/facility management.
  • Proficiency in Microsoft Office Suite.
  • Bilingual in English and Haitian Creole and/or Spanish.
  • Experience with Altru or another similar CRM/database.
  • Candidates with interest in a career in the museum field.
This is a full-time, salaried position that requires some early morning, late evening and weekend hours as necessary, especially during periods of high volume (Miami Art Week, exhibition openings, etc.). A level 2 background check will be required upon the offer of employment.
Reports to: Deputy Director
Supervises: Building Manager, Chief of Security
Compensation: $55,000 - $60,000 annual salary, commensurate with experience and including an excellent benefits package.
