Position Overview:
Reporting to the School Managing Director, the School Administrative Coordinator serves as the initial point-of-contact for Miami City Ballet School office and is a key member of Miami City Ballet’s School team. The Coordinator provides administrative support for MCB School.  The Coordinator performs a wide variety of tasks to ensure effective and efficient outcomes for school staff and stakeholders.
Work Schedule:
Full Time
Tuesday -Friday 12:30pm-9:00pm and Saturday 8:30am - 4:00pm
  • Serves as front-line point-of-contact for Miami City Ballet School office
  • Assists school parents and cultivates trusting relationships with students and parents
  • Introduces school programs to prospective students and their parents by telephone and email
  • Provides information of the programs; distributes brochures and appropriate registration packets
  • Coordinates school mailings
  • Schedules year round auditions, appointments, and meetings
  • Provides administrative support for school staff as needed; handles traditional office tasks such as: answering incoming calls, greeting walk-ups, answering emails, filing and photocopying.
  • Assists backstage for School performances as needed
  • Tracks and reports attendance
  • Manages student Physical Therapy appointments, processes and payments
  • Serves as administrator of Adult Open Division
  • Coordinates with company office Operations Manager, orders supplies and office equipment, addresses facility needs
  • Attends team meetings, scribe meeting notes and follow up tasks
  • The post holder shall also be required to carry out other reasonable duties as required
  • Bachelor’s degree; two years administrative experience required. Must be fluent in English and  bilingual in Spanish preferred
  • Excellent time management skills, demonstrated ability to coordinate simultaneous projects, forward plan and meet deadlines
  • Knowledge of best practice email copywriting and formatting
  • Excellent attention to detail, grammar and proof reading skills
  • Excellent initiative and an ability to proactively solve problems
  • Excellent interpersonal and communication skills including a positive attitude and the ability to deal with a variety of stakeholders
  • Excellent knowledge of Microsoft suite, and an ability to learn new programs if required
  • Experience in education or dance is desirable
