Job Description:

The Philanthropy Coordinator is a vital part time opportunity with the potential to become a full time position for the right candidate. This position supports the Executive Director and Director of Development in developing and implementing a comprehensive and creative strategy to redefine our approach, cultivation, and recognition of philanthropy in all its forms. We are looking for an enthusiastic person who believes in building a culture of philanthropy that is diverse, dynamic and inclusive. It is at the core of Locust Projects mission that we strive for consistent cultivation, stewardship, meaningful recognition, and memorable engagement opportunities and experiences that inspire the entire Locust Projects community - our donors, artists, arts and community leaders, foundations, sponsors and supporters and the audiences we serve. In addition to administrative support for grants, the primary focus of this position is exceptional customer service, communications management, special event programming and coordination, and database maintenance.

The Philanthropy Coordinator works as part of a team with the Executive Director, the Board of Directors, and staff in support of the artist-centric mission and vision of Locust Projects, Miami’s longest running alternative art space.

Job Requirements:



  • Work with the Director of Development and the Development and Events Committees to develop a dynamic programs and events calendar that attracts, engages, cultivates and motivates new and existing donors
  • Oversee event planning and production to ensure all logistical and technical aspects of events are handled with excellence.
  • Assist in identifying potential event hosts, sites, sponsorships and in-kind donations
  • Develop, maintain, and update event-related content in Locust’s database including guest lists, mailing lists, registration/check-in, RSVP and VIP lists.
  • Work with Communications Coordinator to create production timelines for each event and all related collateral: invitations, signage, programs, table cards, etc.
  • Create and manage run of show for staff, board, donors as well as vendors and tech support.
  • Manage budgets and process related purchases and payments
  • Direct Mail and Appeal coordination
  • Prospect research and identification followed by recommendations to Locust Projects’ leadership concerning their involvement in cultivation or solicitation of donor prospects.


  • Management, coordination and tracking of grants and related budgets
  • Works with the grants writer to create compelling proposals and related attachments
  • Oversee grant calendar, application submission and reporting schedules
  • Quick acknowledgement of funds received
  • Maintain open communication with all departments to keep grant copy up to date
  • Consistent, year round engagement of foundation contacts as appropriate


  • Document all contacts, communications, visits, and proposals in donor database
  • Manage data resources including providing data and metric analysis
  • Ensure regular communications and stewardship with donors, foundations and sponsors including re-solicitations, and proper recording of acknowledgement of gifts and pledge payments
  • Maintain and monitor donor lists, mailings, and appeals; implement and monitor metrics and analysis of online fundraising and constituent mobilization with attention to ROI
  • Prompt receipting of all gifts and invoicing of outstanding pledges
  • Process donation tax forms on request


  • Serve as Board liaison sending out communications on behalf of the Executive Director and coordinating board meetings, drafting power points and sending attachments; setting up phone/video options to join meetings and facilitate their set up; draft all Board Meeting minute summaries.
  • Prepare reports and take minutes at Development and Event Committee Meetings
  • Responsible, along with all staff for the upkeep and maintenance of of our gallery space
  • Weekly coverage at the front desk including some weekends when necessary
  • Professionally represent Locust Projects in all dealings


  • A demonstrated understanding and commitment to building a culture of philanthropy.
  • Experience with project and special event management.
  • Must have excellent written and verbal communication skills.
  • Calm and collected demeanor, willingness to support a small team with grace and adaptability.
  • Detail oriented and exceptional organizational skills with the ability to prioritize and execute multiple projects under demanding deadlines.
  • Ability to work independently, as well as collaboratively across departments - a proactive self-starter within a team environment.
  • Strong knowledge of Microsoft Office Suite, particularly Excel
  • A commitment to Locust Projects’ mission, vision and values of diversity, equity and inclusion
  • Ability to work evenings, holidays and weekends as scheduled.
  • Experience working with an integrated (CRM) database system preferred
  • Bachelor's degree or equivalent experience, training or education in events, membership, development, communications, hospitality or related experience
  •  Experience working in an arts organization or non-profit a plus
