Job Description:

POSITION SUMMARY
The Institutional Advancement Coordinator will support the department and Senior Vice President of Institutional Advancement by facilitating communication with high-profile contacts and prospects, drafting correspondence, fielding phone calls, participating in department budgeting, overseeing the implementation of office policies and procedures, stewarding team culture and managing key projects as assigned.
 
DUTIES AND RESPONSIBIILITIES
  • Manage calendar and travel for the Senior Vice President of Institutional Advancement (SVP)
  • Support SVP efforts to cultivate and steward relationships with major donors and prospects
  • Coordinate departmental meetings and external cultivation events as needed
  • Prepare materials and presentations for key stakeholder meetings
  • Provide support for Trustee committee meetings, taking minutes and following up on action items
  • Draft correspondence, agendas, acknowledgements, and edit Institutional Advancement (IA) collateral
  • Maintain supplies of IA collateral
  • Prepare fundraising reports for key stakeholders and major gift solicitations
  • Organize SVP files and maintain accurate records in donor database
  • Work directly with SVP and IA team to manage project workflow and milestones for projects as assigned
  • Manage IA departmental expense budget and report on variances
  • Assist in the annual forecasting process for revenue and expense budgets
  • Process SVP expense reports
  • Assist with and attend special events and concerts
  • Receive and interact with visitors as needed
  • Monitor office practices and processes for improvement
  • Steward IA team’s inclusive and collaborative team culture
  • Perform other duties as assigned

Job Requirements:

EDUCATION AND EXPERIENCE
  • Bachelor’s degree from an accredited college or university and one to three years of experience in an administrative setting; an equivalent combination of education and experience may be considered
  • Experience working as executive support staff or similar position is desired
SKILLS AND ABILITIES
  • High level of organizational and communications skills with ability to multitask and manage multiple projects and assignments
  • Exceptional customer service and interpersonal skills
  • A positive attitude and strong team/relationship building skills
  • Detail-oriented with excellent independent judgment and time management skills
  • Ability to problem-solve, prioritize, work independently, and excel in a high-performance environment
  • Commitment to NWS’s mission and culture
  • Ability to maintain confidentiality and exercise the utmost discretion
  • Knowledge of classical music, fundraising, and communications is desired
  • Familiarity with Tessitura and ArtsVision is a plus
 PHYSICAL REQUIREMENTS
  • Ability to occasionally work a varying schedule, including some nights and weekends
