Job Description:

The Adrienne Arsht Center for the Performing Arts of Miami-Dade County is seeking an experienced, skilled, and highly motivated Production Services Manager to support the Director of Production.

Basic Function

Reporting to the Director of Production, the Production Services Manager is responsible for the Production department’s purchasing, accounting, record keeping and management of its calendar, inventory and administrative systems, as well as creating estimates for a variety of production expenses on a show-by-show basis. The Manager also supports the department by being familiar with the IATSE Local 500 Collective Bargaining agreement, reporting to the Director of Production and assisting the production management staff, this position manages the Center’s relationship with various production companies, including Touring, Resident Companies, Local Arts Partners, and rental events across all venues and ancillary spaces.

Key factors contributing to the success of the Production Services Manager will be the ability to collaborate with all facets associated with the company’s operations including Programming, Engineering, Security, Housekeeping and Development/Advancement teams.  In achieving these objectives, the Director will consistently review the current support infrastructure to ensure the Manager has the tools needed to respond quickly, effectively, and creatively to long term strategic goals, short term operating needs and to key stake holder’s interests and opportunities.


Counted among the responsibilities of the Production Services Manager will be to:

• Assist the Director of Production in the daily management of the Production Department.
• Assist the Director of Production in tracking departmental spending and forecasting of annual budgets; Communicate production needs to House Department heads in advance to anticipate and address challenges.
• Manage the Production Department Calendar;
• Develop and maintain a positive work relationship across the organization;
• Develop and maintain a positive climate within the department and with resident and guest companies;
• Serve as conduit to Accounting and Human Resources by: Tracking account and event codes as they pertain to expense and payment tracking; call for and track work orders (i.e. engineering, housekeeping, IT); track information and status on miscellaneous projects, events etc. and archive productions.
• Coordinate with clients and stagehands, facilitating the flow of information.
• Maintain a clear understanding of the Collective Bargaining Agreement between the Stagehand’s union (IATSE) and the Center
• Supervise IATSE represented House Crew and Stagehands
• Work with the IATSE House Crew in the advance and execution of Presented shows and events
• Create Production estimates for Arsht Center Presented shows 
• Process stagehand payroll
• Track House Crew vacation/leave
• Track House Crew’s use of allotted maintenance hours
• Process departmental bills and track those payments
• Pay all departmental and show bills
• Reconcile monthly departmental credit card statement
• Maintain accurate and up-to-date stagehand personnel paperwork
• Handle Department’s shipping and receiving
• Order Production Department expendables and office supplies
• Schedule equipment maintenance and repairs
• Schedule or assist in the scheduling of departmental service calls
• Create production settlements for assigned shows and projects
• Communicate with the Operations staff which includes Engineering, Security, Housekeeping, and Front of House to clarify show-specific details and assist when needed.
• Prepare and distribute rehearsal and performance reports
• Other duties as assigned

Note: This position requires flexibility in the workday as it calls for both a theater production and administrative schedule.

Job Requirements:

Ideal Experience

• Theater Production or related degree preferable.
• Understanding of technical theater equipment, processes and protocols is of absolute necessity to be successful in this position. Basic understanding of how each technical department functions, how its equipment used, and how they fit into the production process is a large key to understanding. This is important as this position will act as a purchasing agent to secure parts and equipment as requested, so a familiarity with technical theater is a necessity.
• Must be able to research and comparison shop, to purchase equipment and supplies as related to technical theater and show production.
• Able to work well with a variety of personalities and maintain a positive attitude even in highly stressful, time sensitive situations.
• Must be proficient in Microsoft Office Suite (Excel, OneNote, Outlook, PowerPoint, Publisher and Word)
• Experience with Vectorworks highly desirable
• Demonstrate creative judgment, excellent problem-solving and time management skills and must be detail oriented and extremely organized;
• Demonstrate ability to work under pressure and to meet shifting deadlines
• Knowledge of current Best Health and Safety practices.
• Have a high degree of sensitivity for confidentiality.
• Understanding of collaborative, team-oriented leadership style.
• Ability to think strategically about all aspects associated with the image of the Center, including Touring and Resident Companies, outside individuals and institutions.
• Ability to identify, evaluate, investigate and offer alternative solutions to problems.
• Knowledge of theatrical union agreements, especially I.A.T.S.E. and A.E.A. contracts.
• Coordinate all departmental expenditures; purchase orders, credit cards, petty cash, accounts, and process production payments
• Advance/coordinate production aspects of incoming shows
• Will know how to take direction as well as take on a leadership role when needed
