Job Description:

The Adrienne Arsht Center for the Performing Arts of Miami-Dade County is seeking an experienced, skilled, and highly motivated Programming Coordinator to support the Senior Director, Programming.

Basic Function

The Programming Coordinator is responsible for providing support and coordination in event and departmental administration as well as in the advancing, executing, and administering of events, as directed by the Senior Director, Programming. The Programming Coordinator will gain experience researching artists, maintaining venue management calendar and proactively engaging across departments to ensure proper scheduling, assisting in all aspects of rental events, responding to external and internal inquiries, budgeting, invoicing, contracting, and coordinating engagement details.

Responsibilities

• Researches opportunities for future presentations; under the guidance and supervision of the Senior Director, Programming
• Develops budgets under supervision of Directors and Programmers
• Coordinates contract, financial and correspondence administration
• Administers performance agreements with artists and presenting partners
• Assists in keeping internal departments informed of detailed event requirements through weekly calendar meetings, event coordination memos, and other methods as required
• Prepares, maintains, and distributes documentation and reports for department and agents as needed
• Works with members of the programming department to create new reports and assess data reported
• Provides general administrative support to the programming department including responding to inquiries, special ticket orders, scheduling meetings, and maintaining departmental calendar
• Maintains current and accurate information in departmental and corporate databases including data entry, report generating, and data analysis
• Liaises with internal departments and external contacts
• In conjunction with the marketing department, reviews select marketing and publicity materials for accuracy in advance of distribution
• Attends events on behalf of the department
• Identifies potential problems and reports to management, recommending solutions wherever possible
• Assists Director of Rental Events with various rental events. Duties would include but not be limited to responding to initial inquiries, giving introductory tours of the venue, preparing rental estimates for review, liaising with rental clients and vendors, communicating details with internal departments, and managing events on site
• Handles show duties as needed
• Performs other duties as assigned by the Senior Director, Programming and/or Director of Rental Events

Job Requirements:

Ideal Experience

• A Bachelor’s degree from an accredited institution of higher education
• A strong interest in arts management and/or event management
• A minimum 2 years of relevant experience in the performing arts or event management fields.  Relevant experience as an intern or rigorous school setting is applicable
• Ability to effectively multi-task and meet deadlines
• Strong administrative skills
• Fully computer literate, including Microsoft Word, Excel and Outlook
• Able to work flexible hours, including nights, weekends and holidays as needed
• Ability to excel while working both independently and collaboratively
• Understanding of how to function effectively in a multi-ethnic work environment and community
• Understanding of collaborative, team-oriented leadership style
• Fluency in English (reading, writing and speaking) is required. Knowledge of Spanish is not required but is an asset
• Familiarity with software programs including Microsoft Dynamics, Artifax and Tessitura is considered an asset

Physical Demands

• While performing the duties of this position, the employee is frequently required to stop, reach, stand, walk, lift, pull, push, grasp, communicate, and use repetitive motions.
• While performing the duties of this position, the employee may frequently lift and or move 20 pounds of materials.
• The position requires the individual to meet multiple demands from multiple people and interact with the public and other staff.
