Job Description:

Position Overview:  The Assistant Registrar works closely with the Curatorial and Preparation teams in carrying out duties related to the administration, handling, and care of collections and exhibitions. The position is responsible for a broad range of registration functions of which primary duties include collections processing and database activities, assistance with the care, maintenance, and preservation of artworks in the Permanent Collection, as well as the performance of registration functions relative to exhibitions including loan agreements, condition reports, and transit arrangements, as needed.
 

Essential Functions included, but are not limited to:
 
Collections Management
  • Cataloging/accessioning all new acquisitions into the museum’s database
  • Organize and track Permanent Collection objects in art storage
  • Work with the Facilities Department to maintain an integrated pest management program
  • Perform annual inventory of the Permanent Collection
  • Assist with logistics of artwork shipments related to the Permanent Collection
  • Carries out periodic checks of the museum’s storage facilities and the condition of works in storage, and maintains related documentation
  • Carries out daily checks of the appearance of the museum’s galleries and condition of works on view, and maintains related documentation
  • Monitors environmental conditions of the museum, including temperature and relative humidity
  • Assists with outgoing loan object requests
 
 
Exhibitions
  • Assists the registration team as assigned, with all aspects of the administration of the museum’s                                                    organized and loaned exhibitions, including preparing loan agreements, receipts and other standard museum forms, condition reports, packing and shipping arrangements, documents and notices, and checklists
  • May assist the Preparation Department with the preparation of galleries and the installation of artworks
  • Supervise the unpacking, installation, de-installation and re-packing of artwork, as assigned
  • Carrying out condition examinations of works of art on view
  • May act as courier, as assigned, to accompany exhibitions and loans worldwide
 
 
Administrative
  • Perform general administrative duties such as filing, copying, and scanning
  • Responsible for processing department Payment Request Forms
  • Place orders for standard department supplies
  • Attend weekly museum Operations meetings and update department calendar of events
  • Producing exhibition binders and collecting documents for appropriate projects/exhibitions
  • Arranging travel and lodging accommodations for couriers traveling to the museum
  • General data entry as it relates to collections and exhibitions
  • Complete all other duties as assigned within the scope of responsibility and skill required for the job
 
 
Physical Demands:
  • Walk, bend, lift (up to 25 pounds) including files, office supplies and electronic equipment
  • Finger dexterity to pick up paper and use computer keyboard
  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading
  • Ability to hear in normal tones including telephone and face-to-face conversation
 

Job Requirements:

Qualifications:
  • Bachelor’s Degree and 2-3 years of experience in museum registration experience with a focus on collections management and/or exhibitions
  • Experience using complex collections database applications, The Museum System (TMS) preferred
  • Knowledge of principles and procedures of Collections Management filing and record keeping
  • Familiarity with registration methods and collections management functions and procedures
  • Experience managing projects from inception to completion; organized, detail oriented, articulate, and self-motivated
  • Strong organizational and analytical skills
  • Ability to coordinate overlapping projects and meet deadlines in a fast-paced environment
  • Ability to work in a multi-ethnic and multi-cultural environment
  • Able to work well both independently and as part of a team
  • Ability to work a flexible schedule that may include evening and weekend assignments
  • Bilingual in English/Spanish is a plus
  • Must have excellent attendance and punctuality
